#The short version

Rekaply helps adult coaches, tutors and teachers organize lessons and turn spoken notes into written recaps. Students do not need a Rekaply account for an instructor to keep records about them.

• We handle names, optional contact details, class information, coaching notes, recordings, transcripts and recaps.
• Saved work stays on your device and is also backed up to Supabase when you use a signed-in, cloud-enabled version.
• Deepgram and Google Gemini process speech and text to help prepare your recaps and name pronunciations.
• Questions about your information or your child's records can be sent to info@rekaply.com.

#1. Information we handle

Your account and profile. Sign-in identifiers and information provided by Google or Apple, such as your name and email address. Your profile can also contain pronunciation, phone number, sport, club or business name, and biography.

Student and parent records. Student names and optional nicknames, pronunciation, email, phone, coaching notes, parent or guardian details, and family links. Parent records can include names, pronunciation, phone, email and linked children. Optional fields can be left blank.

Classes and recaps. Class names, schedules, enrolled students, lesson dates, recordings, transcripts, AI drafts, changes you make and saved recaps. Spoken notes and free-text fields may contain other information you choose to include. A recording can also pick up another person's voice nearby.

Service information. Account identifiers and records used to operate authentication, cloud storage, voice access and support. Services receiving network requests may also receive technical information, including IP addresses.

#2. How we use information

We use information to save and organize your contacts and classes, recognize names, transcribe recordings, prepare and edit recaps, back up saved work, protect access to the service and respond to support or privacy requests.

Enter only information you are authorized to provide. Avoid unnecessary sensitive details about a student or their family. Review every recap and its intended recipient before sharing it.

#3. Storage and service providers

Saved contact, profile, class and recap records are stored on your device. When cloud backup is enabled and you are signed in, a copy of your saved instructor records and recaps is automatically sent to Supabase for backup and restoration.

• Supabase provides account authentication, cloud storage and voice-request handling.
• Deepgram receives recap audio and selected names or aliases as spelling hints. Our speech requests ask to opt out of its model-improvement program.
• Google Gemini receives transcripts, selected names or aliases and recap text. Name-pronunciation features can also send short name recordings and the entered name for analysis. Provider data handling depends on the service, account and agreements used.
• Google or Apple handles the sign-in option you choose.

Pronunciation recordings may be processed by both Deepgram and Gemini. These services receive identifiable content, not just anonymous statistics. Their processing may take place outside your country. We do not promise that every provider offers zero retention or identical data handling.

#4. Retention and deletion

Saved contacts, classes, transcripts and recaps remain available during your use of the app. Removing a contact does not automatically erase historical recaps. The recap Delete/Undo action hides that message from the session; the underlying transcript and saved draft remain.

Temporary audio is cleared during processing and when leaving recording screens, with cleanup retried when the app starts. Raw audio is subject to a maximum 24-hour deletion requirement; transcripts and recaps are separate records and may be kept longer.

To request account closure or deletion of your account's associated data, selected data, or records about your child, use our Delete account or data form. No sign-in or app installation is required. The form prepares an email to info@rekaply.com; you must send it from your email app or webmail for us to receive the request. The form does not submit or save your entries on our server. You can also email us directly about access, correction or deletion.

We may need to verify your identity and your authority over the requested records. We will confirm the scope and timing of deletion, any records that must be retained, and completion. Signing out or uninstalling the app does not delete cloud records or information already processed by providers. Records required for legal, security, consent or permanent messaging opt-out purposes may be retained with access restricted.

#5. Children and recording

Rekaply is intended for adult instructors. It is not intended for children to create accounts or use an instructor's account. Instructors may enter information about students who are children, so we do hold information about children when adults provide it.

Instructors must have the authority and permissions needed to enter student information and record voice notes. Avoid recording other people unnecessarily. Permission to receive a message does not automatically provide permission to record someone's voice. Parents and guardians can contact info@rekaply.com about their child's records.

#6. Your choices and security

You can leave optional fields blank, deny microphone access, correct saved details and contact us about access or deletion. We do not sell student records or use them for targeted advertising.

We use account and cloud access controls to help protect saved information. No service can guarantee absolute security. Keep your device and sign-in account secure.

#7. Changes and contact

We will date updates to this policy and provide additional notice where required. Read the Terms and Conditions for your responsibilities when using Rekaply.
